HubSpot is a very popular CRM among startups and companies of all sizes, allowing them to easily connect their customers, marketing, and sales to a single platform.

Back in 2022, when we first launched the Private Beta of OneCal, we used HubSpot to store the customers who requested access to it.

The integration via API was quite simple, and we didn’t have to build our own dashboard and database entities to store the users, enabling us to focus on delivering OneCal instead of building marketing dashboards.

One of the marketing products offered by HubSpot is the HubSpot Meeting Scheduler, allowing users to share booking pages where customers can book time with them.

In this article, we’ll explain the downsides of the HubSpot Meeting Scheduler and list the best alternatives that offer the same features as the HubSpot Meeting Scheduler for a fraction of the price.

What are the downsides of the HubSpot Meeting Scheduler?

Given that HubSpot Meeting Scheduler comes as a bundle along with other HubSpot features, it comes with some downfalls:

1. You need a HubSpot Account

To use the HubSpot Meeting Scheduler, you have to sign up for a HubSpot account, as the Meeting Scheduler is an add-on to the existing features that HubSpot offers for marketing, sales, and more.

2. Takes time to get used to the HubSpot User Interface

Given that HubSpot handles everything related to marketing, sales, and customer success, it can be quite a strain to get used to the app's UI and UX, as you’re overwhelmed with features.

Suppose you’ve used Calendly or any other appointment-scheduling software in the past. In that case, you’ll find the interface overwhelming at first, as the Meeting Scheduler is not the primary feature offered by HubSpot.

3. More expensive than the competition

The HubSpot Meeting Scheduler is designed to supplement the existing features offered by HubSpot and consolidate as many tools as possible into one. If you’re already a HubSpot user, this makes sense, as you won’t have to pay for an appointment scheduling tool on top of what you’re already paying for HubSpot.

Otherwise, the HubSpot Meeting Scheduler starts from $20 per month, which is double what Calendly costs, or four times compared to the OneCal Starter Plan

The Top 5 HubSpot Meeting Scheduler Alternatives

1. OneCal

OneCal landing page

OneCal is a calendar automation platform that allows users to seamlessly book through branded booking pages and reflect their availability across all calendars using the Calendar Sync Feature.

Opposite HubSpot, OneCan offers scheduling links that are multi-calendar and multi-purpose and not tied to a marketing or sales feature.

Features

  • One-on-one scheduling pages: Similar to HubSpot Meeting Scheduler, you can easily create scheduling pages where others can book meetings with you. The OneCal Booking Pages take into account the availability from multiple calendars, and you can configure where the events are created after someone books a meeting with your booking page.

  • Group Booking Pages: OneCal has support for teams, meaning that you can invite your team members to OneCal and create group booking links where others can book meetings with you and your team.

  • Booking Limits: OneCal allows you to set booking limits so you don’t get overloaded with meetings. Limits include Buffer times before and after meetings, notice periods, and the ability to limit future bookings.
  • Copy availability via email: Speaking of features that HubSpot Meeting Scheduler doesn’t have, such as the ability to copy availability via email. You can select a booking link and out of it, select slots that you’d like others to book time with you. You can copy those suggestions and paste them via email or other mediums.

  • View all your calendars in one place: Aside from the booking links feature, OneCal has a Calendar View feature that allows you to see the meetings from all your calendars in one view.

2. Scheduler AI

Scheduler AI landing page

Scheduler AI is an unconventional scheduling assistant that leverages AI to coordinate meetings on the user's behalf. You can think of Scheduler AI as your personal assistant, who is aware of your schedule and can communicate with other people to book meetings with you or your team.

Aside from integrating with various CRM, scheduler AI also functions along via chatting. One way of using it would be CCing scheduler@scheduler.ai when sending someone an email to book time with them.

Say you want to book a meeting with Adam, an SEO expert that you want to work on improving your landing page ranking on Google. This is how the email would look like:

——

To: adam@acmeinc.com

CC: scheduler@scheduler.ai

Subject: SEO intro call

Message:

Hey Adam,

I hope you’re doing well.

Regarding our discussion on Linkedin, I’d like us to schedule a call and discuss the details of the engagement.

Scheduler, please suggest a couple of hours for us this week.

Regards

Eraldo

——

After this email, Scheduler AI will follow up with an email:

——

To: Eraldo, Adam

From: scheduler@scheduler.ai

Subject: SEO intro call

Message:

Hey everyone,

The best time for Eraldo to meet is below:

Wednesday, April 10, 20204, 3 PM-3:30 PM ET

I’ve sent a calendar invite.

If the proposed time doesn’t work, guests can either propose a new timeframe (Ex: can’t do tomorrow at 3 PM) or click here to select a time.

Thanks.

——

As you can see, you can continue the conversation from here, proposing new times if the proposed time by Scheduler AI doesn’t work for you.

You could say:

——

To: Eraldo, Scheduler

From: Adam@awesomeseocompany.com

Subject: SEO intro call

Message:

Hey Eraldo,

I’m looking forward to connecting with you.

Can we do April 14, 11 AM to 12 PM?

Thanks,

Adam

Scheduler AI responds:

——

To: Eraldo, Adam

From: scheduler@scheduler.ai

Subject: SEO intro call

Message:

I’ve rescheduled the call for April 14, 11 AM to 12 PM, and also rescheduled the event.

——

Scheduler AI also has other features like:

  • Automatic reminders: It can send you reminders before the meeting starts, so you’re aware that you have a meeting and attend it.
  • Routing: Scheduler AI has the ability to route the meetings to your team, based on their availability and other factors.
  • Group meetings: The demo that I showed above would work even if you email multiple people. Scheduler AI will propose times to meet based on your availability and go back and forth with all recipients until a time to meet is agreed upon.
  • Ability to customize the availability: You can customize your general availability, by adding your working hours for each day. You can mark weekdays as unavailable (such as weekends), and Scheduler AI won’t propose times on those days.

Pricing

Scheduler AI has only one price at the moment, which is $49 per user, and includes:

  • Personal AI Scheduling Assistant
  • Automated Reminders
  • Instant Re-Booking
  • Cancellation Management
  • Branded Webforms

Reclaim AI is a smart assistant that mixes scheduling pages for others to book time with you using a link and the ability to manage tasks using AI.

Features

  • Scheduling Links: The equivalent HubSpot Meeting Scheduler using reclaim would be using the Scheduling Links feature. This feature is very similar to what HubSpot Meeting Scheduler offers, allowing you to get booked individually or invite your members and get booked as a group.
